Formatting a Field in a Visual Analysis

Custom formatting can be applied to a date or value field in a visual analysis. A date field can be displayed with a date/timestamp, or a custom format can be applied.  A value field can be displayed as a number, percentage, currency, or a custom format can be applied. Date, value, and text fields can all be formatted by adding color to highlight differences in values, time periods, and text-based data.

Formatting a Date Field

1.  Click Reports in the Navigation Toolbar, and select the BI Toolbox link in the menu.

2.  In the Home screen, locate the visual analysis whose field you want to format, and click its link.

3.  In the Discovery screen, locate the date field you want to format, and click its Icon BIProperties.gif icon.

Formatting can be applied to a date field used in the chart section of the screen, or the data section, located directly below the chart.  A date field contains a gold tick Icon BIDate.png  in the top left corner of the field header.

4.  In the prompt named for the date field, click  Icon BIFormatting.gif.

5.  When the formatting fields display, use the default format or select one of the following options:

  • In the Display as list, change the default to Custom, and click Icon QuestionMark.gif in the Format String field to display a Formatting Data page in a new browser window, providing other options for displaying the date.
  • In the Show Full Date as list, select a different format to display the date.
  • (Optional) Click the Show Time as check box to add a timestamp to the date.
    • When the list displays, select the format for the timestamp.
  • Click Apply.
  • Click Icon BIClose.gif to close the prompt.

Formatting a Value Field

1.  Repeat Steps 1-2 in Formatting a Date Field.

2.  In the Discovery screen, locate the value field you want to filter, and click its Icon BIProperties.gif icon.

A filter can be applied to a value field used in the chart section of the screen, or the data section, located directly below the chart.  A value field contains a green tick Icon BIValue.png  in the top left corner of the field header.

3.  In the prompt named for the value field, click Icon BIFormatting.gif.

4.  When the formatting fields display, use the default format or select one of the following options:

  • In the Display as list, change the default from Custom with a g in the Format String field, which is the General number format syntax that displays the value as a whole number.  Click Icon QuestionMark.gif to display a Formatting Data page in a new browser window, providing other options for displaying the value.
    • Select Currency in the list to display the value as a monetary value. 
      • Use the Decimal Places field to set the number of decimal places for the monetary value. Use the Thousands Separator check box to add a comma to the monetary value, such as 10,000.  Use the Metric Prefix check box and list to add a monetary symbol to the value and choose the symbol, such as $ for U.S. dollars.
    • Select Numeric in the list to format the value using the Decimal Places field and the Thousands Separator check box.
    • Select Percentage in the list to append the percentage symbol (%) to the value and apply additional formatting using the Decimal Places field and the Thousands Separator check box.
  • Click Apply.
    • Ensure the Formatting option is enabled, as indicated by the Icon BIFormat1.gif icon.
  • Click Icon BIClose.gif to close the prompt.
