Messaging Members of a Document Package

A document package added to a Contract Profile contains a Messaging feature to facilitate communication between members of the document package. In sending a message from a document package, you can include any of the documents in the package as attachments to the message.

When a message is sent from a document package, Conga Contracts sends an email to each recipient using the email address listed for them in the Address Book.  In replying to the message, a recipient can respond by clicking the link in the email message, which directs them to the Conga Contracts Login screen (program users) or to the Conga Contracts Portal (company contacts and external people).

Sending a Message

1.  Click on MyPlace in the Navigation Toolbar.

  A program user can also message members from the Document Packages screen in a Contract Profile. A company contact or external person can send a message from the Conga Contracts Portal.

2.  In the My Place menu, click the Document Packages link.

3.  In the Document Packages screen, locate the package by scrolling through the list, or typing the name of the package into the Search field and pressing the ENTER key on your keyboard.

4.  Click the package's icon.

5.  In the Document Package Profile, click Messaging in the toolbar.

6.  In the Messaging window, click New Thread.

7.  When the window refreshes:

  • Click in the To field to display the Address Book, and select the members of the document package you want to message.
  • (Optional) Click in the CC field to display the Address Book, and select the members of the document package you want to copy on the message.
  • Enter the subject of the message in the Subject field.
  • Enter your message in the Content box.
    • (Optional) Use the toolbar to format your message.
  • (Optional) Click Attach Document to upload a document to the message.
    • In the Attach Document window, click on the document record to select it. To select multiple documents, hold down the CTRL key while clicking on document records.
    • Click Attach Selected Document.
  • Click Send.

8.  Click Icon Close.png to close the Messaging window.

Replying to a Message

1.  Click on MyPlace in the Navigation Toolbar.

  A program user can also reply to a message from the Document Packages screen in a Contract Profile. A company contact or external person can reply to a message from the Conga Contracts Portal.

2.  In the My Place menu, click the Document Packages link.

3.  In the Document Packages screen, locate the package by scrolling through the list, or typing the name of the package into the Search field and pressing the ENTER key on your keyboard.

4.  Click the package's icon.

5.  In the Document Package Profile, click Messaging in the toolbar.

6.  In the Messaging window, locate the message you want to reply to, and click on the message to select it.

7.  Click Reply.

8.  When the window refreshes:

  • (Optional) Click in the To field to display the Address Book, and select additional members of the document package. The sender of the original message is automatically selected.
  • (Optional) Click in the CC field to display the Address Book, and select the members of the document package you want to copy on the reply message.
  • Enter your message in the Content box, above the original message.
    • (Optional) Use the toolbar to format your message.
  • (Optional) Click Attach Document to upload a document to the reply message.
    • In the Attach Document window, click on the document record to select it. To select multiple documents, hold down the CTRL key while clicking on document records.
    • Click Attach Selected Document.
  • Click Send.

9.  Click Icon Close.png to close the Messaging window.
