Template Builder Information

Template Builder Overview

The Template Builder page is divided into a few sections: Target Object fields, Child Object fields, and the Template Workspace.

Navigation Buttons

At the top of the page, there are two buttons: Done and Show Me Around. Done will navigate back to the template edit page, the template view page, or the home screen, depending on the previous page. Show Me Around will launch a tour of the page to explain the various features.

Target Object Fields

This section displays fields from the target object.

  • Target Object Name displays the target object of the template. This field is view only.
  • Template Type allows selection of the type of document the fields will be placed into. Setting this field is important for the formatting of merge fields.
  • Available Source will change the contents of the lists below it between the fields on the target object of the template and fields available for the Merging User. The Merging User fields will populate with information from the user that initiates a document merge.
  • The list(s) below Available Source contain the fields available on the selected source. If a field has an arrow pointing to the right at the end of the name, it is a lookup field. Selecting that field will open a new list to the right filled with the fields related to the object referenced in the lookup field. There can only be five lists open at one time.
  • The Insert Field button will take the field selected in the farthest right visible list and insert it into the Template Workspace.
  • The Show All Fields button will display a list below the Template Workspace containing all the available fields in the farthest right visible list. The button changes to Hide All Fields to hide the list when clicked.
  • The Preview Record button will bring up a window that allows for selecting a target record and previewing the values of the available fields. To preview a record, start typing the name of the record in the text box and then select the record when it shows up in the list. Click the Generate Preview button to load the list of fields and values. Click the Close button to close the window.

Child Object Fields

This section crafts child object relationship tables. It is only available if the Template Type is set to Word.

  • Child Object displays the selected child relationship.
  • The Table Fields list is populated by selecting fields from the list to its left and clicking the right arrow. The left list works similarly to the lists of fields above (in the Available Fields) where a field with an arrow will open a new list containing fields of the object that lookup field is referencing. Fields can be removed from the Table Fields list by selecting them and clicking the left arrow. Fields can also be reordered by using the up and down arrows.
  • The Add Order By Field button will take the currently selected field in the lists above it and put it into the Order By Fields list.
    • The Open Filter Editor button brings up a window to build filters for the table.
    • The Field column will specify the field to be filtered by
    • The Operator column will specify the desired operator to compare the field value against the filter value.
    • The Value column will specify the desired value to be filtered for.
      • If the Field column value is a date or time field, the following values are valid in the Value field

    • The Join column will specify how to join the filter lines in the query using and or or.
    • The Delete column will delete the specified line from the filter.
    • The Add Row button will add a new row to the filter.
    • The Ok button will close the window and combine all valid filter rows into a filter for the table.
  • The Order By Fields list organizes the selected fields to determine the order of the elements in the table (ascending or descending). The up and down arrows will move a selected field up or down in the order. The trash can will remove the field from the list and the arrows icon will switch the field in the list between ascending or descending order.
  • The Group By Field dropdown specifies which field the table will group on. Selecting a field will break the table into multiple tables based on the value of that field.
    • Example: Setting the Group By Field to Department will create a set of tables on the template of Sales, Marketing, Support, and Executive departments. In each of those tables, the contacts associated with each department will be listed.
  • The Table Preview text area is the workspace for the child object table. This text area will be refreshed with the details of the fields above.
  • The Insert Table button will insert the contents of the Table Preview text area into the Template Workspace.

Template Workspace

The Template Workspace holds the selected fields and child object tables that can be copied into the template document. The contents of this page are saved every 60 seconds, but if a change needs to be saved immediately, click the Save Now link and the contents will save. The Last Saved text will update with the current time to confirm it was saved.
